Position: Head of System
Location: Klang

Reports To: Head of Auto Financing
Direct Reports: System Manager and Systems Support Team
Role Purpose
Responsible for the end-to-end ownership, governance, stability and continuous improvement of all business application systems across the organisation, including the UCD Core Financial System, AutoCount, XCally and other financial, lending, collections, customer and operational applications.
The Head of System will ensure that existing systems operate reliably, efficiently and smoothly while supporting the organisations wider transformation agenda. The role will work closely with the Digital Transformation Team, which will lead the design and implementation of new transformation initiatives, platforms and solutions.
The Head of System will provide system knowledge, assess impacts on existing applications, support integration and testing, and ensure that new solutions are successfully transitioned into business-as-usual operations.
The role covers business applications and related data. Servers, networks, infrastructure, telecommunications and end-user hardware are excluded, except where coordination is required.
Key Responsibilities:
1) Systems Strategy and Modernisation
• Develop and maintain the systems roadmap in alignment with business and digital transformation priorities.
• Identify systems requiring enhancement, integration, replacement or retirement.
• Lead the modernisation of the UCD Core Financial System.
• Evaluate technology solutions, vendors and implementation approaches.
• Present system investment requirements, risks and recommendations to Senior Management.
• Ensure system changes improve operational efficiency without disrupting critical activities.
2) Application Ownership and Operational Performance
• Own and govern all business application systems.
• Ensure systems are stable, available, secure and properly supported.
• Work with existing vendors, UCD and / or Digital Transformation team to continuously improve existing systems, workflows, configurations and performance.
• Identify and remove system bottlenecks, recurring issues and inefficient processes.
• Maintain system inventories, documentation, business rules, integrations and dependencies.
• Ensure critical system knowledge is retained internally and not dependent on individuals or vendors.
• Oversee incidents, issue resolution, business continuity and disaster recovery readiness.
3) Business Requirements and Delivery Governance
• Act as the central coordinator between business users, process owners, ITS, the Digital Transformation Team and vendors.
• Translate business requirements into clear system specifications.
• Assess cross-system, process, data and control impacts.
• Prioritise system enhancements based on business value, operational needs, risk and urgency.
• Oversee delivery from requirements and development through testing, deployment and post-implementation review.
• Ensure proper approval, documentation and change controls are followed.
4) Data and Integration
• Govern system data quality, definitions, ownership and integrity.
• Oversee integration between business systems, the data warehouse and reporting platforms.
• Ensure reliable data is available for reporting, analytics, automation and artificial intelligence use cases.
• Support data migration, reconciliation and historical data requirements.
• Address data gaps, inconsistencies and limitations within existing systems.
5) Collaborate with Digital Transformation Team
• Work closely with the Digital Transformation Team on all transformation initiatives affecting existing systems, processes or data.
• Provide input on current system capabilities, limitations, business rules and dependencies.
• Assess how proposed solutions will affect existing systems and operations.
• Support integration, testing, cutover and implementation activities.
• Ensure new systems and enhancements are practical, supportable and aligned with current operations.
• Take ownership of newly implemented systems once they transition into business-as-usual operations.
6) Testing, Deployment and User Readiness
• Oversee system testing, user acceptance testing and quality assurance.
• Ensure defects are tracked, resolved and retested.
• Confirm operational readiness before system changes go live.
• Ensure process owners brief and prepare users before implementation.
• Establish go-live, rollback and post-deployment support arrangements.
Qualifications and Experience
- Degree in Information Technology, Computer Science, Information Systems or a related discipline.
- Minimum 6 to 8 years of experience in systems, application management, project management or technology delivery.
- Minimum 2 to 3 years in a systems or project leadership or management role.
- Experience managing core financial, lending, collections or other business-critical systems.
- Strong knowledge of system development, testing, integration, data management, project delivery and vendor governance.
- Financial services or hire-purchase industry experience is preferred
